JOB DESCRIPTION POSITION: Admin / Reception DEPARTMENT: Administration CLASSIFICATION: Non-exempt, full-time SUMMARY: General Responsibilities: Building Controls and Services provides a comprehensive suite of products and services to help clients efficiently optimize their facility operations. This position provides administrative support to various segments of the operation. Reports to: Senior Accountant Direct Reports: none MAJOR RESPONSIBILITIES: 25% General office assistance for the Kansas City location. * Hotel and travel coordination. * Arrange for food for events and coordinate with marketing; lunch and learns, etc. * Maintain conference room schedules. * Order office supplies through approved vendors. * Creates training manuals for various groups. * Book conference rooms for employees, as needed. * Additional support for other groups, as needed. 25% Operate and maintain the front desk and reception area. * Welcome visitors, in person or on phone, answering or referral of inquiries. * Direct and situate visitors to conference rooms for training and meetings. * Maintain and clean reception and kitchen areas. * Operate the multiline phone system and direct calls. * Decorate office area for holidays, various seasons and events. * Take headshots of new employees for badges. 50% General clerical duties. * Handle all hotel direct billing, and track billing to ensure invoices are received in a timely manner. * New vendor and customer setup. * Filing and mail distribution. * Data entry in spectrum and POS software systems. * Create purchase orders for work orders. * Site setup for work orders. * Process vendor statements. * General accounting office assistance, as needed. QUALIFICATIONS: Education * High School Diploma, required; some additional education helpful. Skills and Experience * 1+ years related reception/administrative experience, light accounting experience preferred * Well versed in utilization of Microsoft Office (Word, Excel, Power Point and Outlook) and any relevant software applications * Ability to operate a multi-line switchboard * Reads and comprehends instructions, correspondence and emails * Applies common sense understanding to carry out detailed, but uninvolved, written or oral instructions * Highly organized * Pleasant and professional in appearance and demeanor * Detail-oriented * Strong work ethic * Speaks clearly and persuasively in positive or negative situations * Listens and obtains clarification * Responds quickly to customer needs and requests Certificates, Licenses, Registrations * None required Physical Requirements Requires frequent standing, walking, climbing of stairs or ladders, bending, squatting or twisting. Requires the ability to carry, lift, move or push up to 20-30 pounds on a regular basis. Must be able to talk and listen to others. Frequent use of manual dexterity and visualization of a computer screen throughout the day. Requires ability to see up close and distant, distinguish colors, peripheral vision, depth perception and the ability to adjust focus. Work Environment This position regularly works in an office setting. Regular noise levels range from minimal to moderate. Most of the job duties require the employee to work with computers and electronic media on a regular basis. To perform this job successfully, an individual must be able to complete all areas outlined for this position in a satisfactory manner.
